The receptionist is on the phone, Instagram is silent

A clinic’s Instagram page works hard for advertising, but there is no receptionist in Direct. A patient writes “how much is a dermatology consultation?” and gets an answer tomorrow — or never.

Meanwhile the receptionist is on the phone, answering that exact question for the tenth time today.

What the agent does

Quotes the price. Every service has its price and its duration in the knowledge base. “A dermatology consultation is 250 000 UZS, about 30 minutes.”

Offers open slots. From the schedule you provide: “Thursday 15:00 and Friday 11:30 are open. Which suits you?”

Books the appointment. The patient picks a time, the agent asks for a name and phone number, and confirms.

Passes it to your CRM. The record lands in amoCRM or Bitrix24 — the receptionist doesn’t retype it.

Explains the preparation. Questions like “do I need to fast before the blood test?” get answered too.

What it will not do — and why

The agent does not give medical advice. That limit is put there on purpose; it is not a missing feature.

If a patient asks “can I take this medication?” or “what does this symptom mean?”, the agent does not attempt an answer. It says they need to speak to a doctor and hands the conversation to an operator.

The agent answers only inside the information you gave it. If the answer is not in the knowledge base, it asks a clarifying question or hands over to a person.

In healthcare an invented answer is not an inconvenience. It is a hazard.

Branches and doctors

Each branch gets its own entry: address, opening hours, phone, and which doctors see patients there. The agent works out which branch the patient has in mind and answers accordingly.

The same goes for doctors: specialty, consulting days, consultation fee.

When the receptionist steps in

Whenever they want to. When a question is complex or sensitive, the agent calls for an operator itself and sends a Telegram notification.

The receptionist opens the conversation in the shared inbox, presses “I’ll answer”, and the AI goes quiet.

Patient data

Each clinic’s data is separated in the database. The servers are in Germany and every token is encrypted. A request to delete a patient’s data is carried out immediately — the procedure is here.

Frequently asked questions

Does the agent give medical advice?

No, and that is deliberate. The agent answers organisational questions — price, time, address, how to prepare. Anything about a diagnosis or a treatment it hands to a doctor, and it tells the patient so.

Is patient data safe?

Each clinic's data is separated at the database level. It is stored encrypted in Germany, and any patient's data can be deleted in one press.

Does it connect to our appointment schedule?

For now the agent offers open slots from the schedule you give it and files the appointment into your CRM. A direct connection to scheduling systems is on the roadmap.

We have several branches. Does that work?

Yes. Each branch keeps its own address, hours and doctors in the knowledge base, and the agent works out which branch the patient means.

Does it answer in Russian too?

Yes. Whichever language the patient writes in — Uzbek, Russian or English — the agent answers in that language. If they switch mid-conversation, so does it.
